Architecture Ventures Limited respects your privacy and is committed to protecting your personal information. This policy explains what we collect, why we use it, who we may share it with and the rights available to you under UK data protection law.

Information we collect

We may collect and use:

• your name, email address, telephone number and contact preferences;
• the location, type and circumstances of your property;
• details about the work you are considering, your priorities, likely budget and timing;
• messages, plans, property-listing links, planning references, photographs and other material you choose to send us;
• information created while discussing, planning or delivering a project, including correspondence, appointments, proposals, contracts and payment records; and
• limited technical information generated when the website is used, such as IP address, browser or device type, requested page, date and time, and security or server-log information.

We normally receive information directly from you through the enquiry form, by email, telephone or during a project. We may also receive it from someone acting with your knowledge, from another professional involved in your project, or from public sources such as planning records and Companies House.

How and why we use it

We use personal information to:

• respond to enquiries and recommend an appropriate next step;
• prepare proposals and take steps towards a contract;
• provide architecture, interior-design and related professional services;
• manage appointments, project communications, administration, invoicing and payments;
• coordinate with other professionals and contractors where this is necessary for a project;
• keep the website, forms and business systems secure; and
• meet legal, regulatory, tax, insurance and professional obligations, and establish or defend legal claims.

Our lawful bases

Depending on the circumstances, we rely on one or more of the following lawful bases:

• Contract: where processing is necessary to respond to a request before entering into a contract or to perform our contract with you.
• Legal obligation: where we must keep or disclose information to comply with the law or a professional requirement.
• Legitimate interests: where it is reasonably necessary to operate and protect the practice, communicate about a project, maintain appropriate records and handle or defend claims, provided those interests are not overridden by your rights.
• Consent: where we specifically ask for it. You may withdraw consent at any time.

We do not use website-enquiry information for unrelated marketing, and we do not make decisions about you solely by automated means.

Who receives your information

We do not sell personal information. We may share it only where necessary with:

• Netlify, which hosts the website and processes website-form submissions;
• providers of email, cloud storage, IT support, accounting and other business systems;
• architects, designers, surveyors, engineers, planning consultants, contractors and other project professionals where relevant and authorised;
• professional advisers, insurers, banks and accountants; and
• regulators, courts, public authorities or law-enforcement bodies where disclosure is required or permitted by law.

These recipients receive only the information reasonably required for their role and must protect it appropriately.

Website hosting, forms and Google Fonts

The website is hosted by Netlify. Information entered into the project-enquiry form is transmitted to and stored by Netlify so it can be delivered to Architecture Ventures. Netlify may also process technical request and security-log information, including an IP address, to host and protect the site.

The site requests its typefaces from Google Fonts. When a page loads, the visitor’s browser connects to Google’s servers and sends ordinary technical request information, which can include an IP address and browser information. Google Fonts is not used by Architecture Ventures for advertising or audience measurement.

International transfers

Some service providers, including Netlify and Google, may process information outside the United Kingdom. Where personal information is transferred to a country without UK adequacy regulations, we require an appropriate safeguard recognised by UK data protection law, such as the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful transfer mechanism. You may contact us for more information about the safeguards relevant to your data.

How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected and to meet legal, tax, insurance and professional requirements. In general:

• enquiries that do not become projects are normally retained for up to 24 months after the last meaningful contact;
• project and client records are normally retained for at least six years after the end of the appointment or completion of the project, and may be kept for up to 12 years or longer where a deed, insurance requirement, legal obligation or potential claim makes this necessary;
• financial and tax records are normally retained for six years after the relevant accounting period; and
• technical security logs are kept for the period reasonably required by the hosting or security provider.

When information is no longer required, it is deleted or securely disposed of.

Cookies and similar technologies

If analytics, advertising, embedded media or another non-essential technology is introduced, this policy will be updated and an appropriate consent mechanism will be put in place before that technology is activated.

Your rights

Depending on the circumstances, you may have the right to:

• ask for a copy of your personal information;
• have inaccurate or incomplete information corrected;
• ask for information to be erased or its use restricted;
• object to processing based on legitimate interests or to direct marketing;
• receive certain information in a portable format; and
• withdraw consent where processing is based on consent.
